Reimagining Notifications: From Fixed Rules to Full Flexibility

As MainTrak continues to evolve, one of our biggest focuses has been making every part of the system more adaptable to how different teams actually work. Notifications are next on that list, and they are about to get a major upgrade.

Right now, notifications in MainTrak follow a predefined pattern. They are reliable, clear, and integrated deeply into the workflow. But as we have built out the MainTrak Automations Engine, it has become clear that the same powerful system that drives job triggers, SLA escalations, and workflow logic can also handle notifications in a far more flexible way.

The New Vision

Instead of a one-size-fits-all notification system, MainTrak will soon let users build their own notification flow using the Automations framework. The default setup will still mirror the existing notification structure, so users who prefer the current behavior will not have to change a thing. But those who want more control will have endless possibilities.

Imagine being able to:

  • Send notifications via email, Telegram, WhatsApp, or other channels
  • Schedule multiple delivery methods, such as an email immediately followed by a WhatsApp reminder later
  • Set conditions like “notify the team only if the job is overdue” or “send a summary if there are more than five pending tasks”
  • Customize notification templates and timing per job type, team, or priority level

All of this will be built directly within the same automation interface that users already know, keeping it powerful but still approachable.

Why This Matters

Every business communicates differently. Some rely heavily on instant messaging, while others prefer email trails. By moving notifications into the Automations Engine, we are not just adding features; we are giving users control. This change turns notifications from a background system into a first-class part of MainTrak’s workflow logic.

What’s Next

We are currently rebuilding the notification core to plug into Automations seamlessly while keeping compatibility with the existing setup. That means all current notification behavior will continue to work out of the box, but now users will have the tools to make it entirely their own.
